Receptionist
Basic Function: The Receptionist position provides administrative support to the entire company.
Principal Accountabilites:
- Answer telephones and transfer to appropriate staff member.
- Maintain the President/CEO’s calendar.
- Maintain data entry into CRM.
- Process signed contracts internally.
- Maintain projects in time tracking system.
- Meet and greet clients and visitors.
- Create and modify documents using Microsoft Office.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
- Maintain hard copy and electronic filing system of client files, including marketing materials and contracts.
- Sign for and distribute UPS/Fed Ex packages.
- Research, price, and purchase office furniture and supplies.
- Coordinate and maintain records for staff office space, phones, and office keys.
- Setup and coordinate meetings and conferences.
- Order office supplies and maintain vendor relationships.
- Support staff in assigned project based work.
- Other duties as assigned.
Additional Accountabilities:
- Schedule office orientation for new employees.
- Setup accommodation and entertainment arrangements for company visitors.
- Arrange travel schedules and make reservations for internal staff.
Desired Qualifications:
- Two to three years’ experience and excellent organization and time management skills
- Experience with word processing and spreadsheets, database and presentation software
- Experience managing files and records, designing forms, and other office procedures and terminology
- Support experience in a professional services environment, sales or marketing is highly desirable.
**The Receptionist position requires the ability to interact with staff and customers (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. This position may require access to high level customer and internal information and requires an individual with the ability to maintain confidentiality with no exceptions**
